For builders, renovators and building maintenance crews

Job Management Software for NZ Builders

A renovation runs for weeks, the crew changes by the day, and every variation agreed on site has to end up on an invoice. Work Flow Trade keeps the schedule, hours, costs and invoices for the whole job in one place.

Sound familiar?

The everyday problems Work Flow Trade was built to fix for builders.

  • Weeks into a job, nobody’s sure what has been invoiced

  • Variations get agreed on site and forgotten by Friday

  • You give estimates, but your software insists on calling them quotes

  • A different crew each day, and the schedule lives in your head

  • Subbie and supplier costs never get tied back to the job

  • You can’t tell whether the last job made money

How a renovation runs in Work Flow Trade

  1. 1

    Estimate or quote

Lay the price out under a heading for each stage: demolition, framing, linings, finishing. Call it an estimate if that’s how you price. Your customer accepts it from the email link or in the portal.

  2. 2

    Plan it day by day

Book the job across the days it needs, with a different crew on each day if that’s how it runs. Public holidays are shaded on the calendar, and moving a day tells the crew straight away.

  3. 3

Costs and hours as you go

The crew logs hours on the job. Supplier purchases go on as job costs with a photo of the receipt, and bigger orders go out as purchase orders from the job.

  4. 4

    Invoice in stages

Take a deposit, invoice progress payments as stages finish, raise variation invoices for the extras, then the final invoice. Each one is linked to the job.

  5. 5

    Know if it paid

The job profit view sets what you invoiced against materials, job costs and labour, so you can price the next job on what this one really took.

Job management features for builders

Everything below is included in the one flat price.

Estimates or quotes

Stage headings, saved templates, and your choice of calling it an estimate or a quote.

Multi-day scheduling

Jobs that run for days or weeks, a different crew on each day, and a warning before anyone is double-booked.

Progress invoicing

Deposit, progress, variation and final invoices on the same job, with card payments through your own Stripe account.

Purchase orders

Send purchase orders to suppliers from the job, then record their invoice against it so the cost lands on the job.

Job costing

Receipt-photo job costs, supplier bills and labour against what you invoiced, job by job.

Client portal

Clients log in to see progress photos, accept each stage’s quote and pay invoices, with fewer phone calls asking how it’s going.

Subbies and crew

Add contractors as well as staff. They get the same job access, without leave or lunch deductions.

Timesheets

GPS-stamped clock-in and clock-out with weekly approval and a payroll-ready CSV export.

Your own forms

Build site-safety checklists and pre-starts with photos and signatures, and make them required before work starts.

Why builders choose Work Flow Trade

Building jobs are long, and the money in them leaks slowly: a variation nobody wrote up, a supplier invoice that never got tied to the job, a progress payment invoiced a week late. Work Flow Trade suits builders running renovations, extensions and maintenance with a small crew. It gives you estimates laid out by stage, a calendar that handles multi-week jobs with a different crew each day, progress and variation invoices, and a job profit view at the end. It won't replace a full construction accounting or quantity-surveying suite, and it doesn't try to. It's $50+GST a month for the business, with no per-user fees, so your subbies can be on it too.
